Wedding Artwork Stationery Terms and Conditions

 1. The Booking

After a consultation by email, Zoom or in our Studio, Wedding Artwork will provide a Formal Quote based on the Client’s requirements.

Quotes are valid for 30 days.

A booking is confirmed once:

– the deposit payment has been received.

The deposit secures the agreed design and production slot in our diary.

2. Minimum Order

A minimum quantity of 30 applies to wedding stationery orders, unless otherwise agreed in writing.

A minimum spend of £700 applies to all wedding stationery orders.

3. Payments

An initial deposit is required to confirm the booking. The deposit amount will be stated on the Formal Quote and is non-refundable.

The remaining balance is due by the date stated on the Formal Quote or invoice.

Late payment may delay the order.

Payments can be made by bank transfer, Wise or through our secure online payment system. Online card payments may be subject to a 3% transaction fee.

All prices are in Great British Pounds.

4. Quantities

Quantities agreed at the time of booking cannot be reduced.

Quantities may be increased where possible, subject to availability, timing and material supply. A minimum of 4 weeks’ notice is required, and increased quantities may delay the order.

Quantities may be increased up until the 1st day of the agreed production month. The production timeframe is outlined on your Formal Quote/Invoice

We recommend ordering a small number of extras, as later reorders will be subject to our minimum order quantities or may not be possible.

5. Artwork, Copyright and Usage Rights

All designs, illustrations, venue drawings, maps, crests, calligraphy, layouts, concepts, proofs and artwork created by Wedding Artwork remain the intellectual property and copyright of Wedding Artwork.

The Client is purchasing the printed stationery and physical items listed in the Formal Quote. The Client is not purchasing copyright, ownership of the artwork, editable files, source files or reproduction rights unless this has been agreed in writing and a separate licence has been purchased.

The Client must not copy, reproduce, alter, redraw, trace, edit, share, sell, print, upload or repurpose any Wedding Artwork design, illustration or artwork without written permission.

This applies to both final designs and unused concepts created during the design process.

If the Client would like to use any Wedding Artwork design or illustration on items not produced by Wedding Artwork, this must be agreed in writing in advance. A separate artwork licence will be offered at Wedding Artwork’s discretion.

6. Artificial Intelligence

The Client must not upload, submit, copy or share any Wedding Artwork designs, proofs, illustrations, maps, crests or artwork with artificial intelligence platforms, image generators, editing tools or similar services. Wedding Artwork can identify AI-generated images and uploading any parts of our work to AI is strictly prohibited.

The Client must not use artificial intelligence to alter, recreate, extend, imitate or generate new work from Wedding Artwork’s designs or illustrations.

AI use will be considered a breach of copyright and a breach of this Agreement and may result in additional fees.

7. Reuse of Artwork and Designs

Wedding Artwork retains the right to use, adapt, develop and reuse our artwork, illustrations, designs, layouts, crests, maps and creative concepts for future clients, collections, samples, marketing, social media, our website, exhibitions, publications and portfolio use.

This includes bespoke artwork created as part of a Client’s order.

Wedding Artwork will not intentionally share private Client information, personal addresses or confidential wording.

8. Timeframes

The agreed design and production month will be stated on the Formal Quote.

The deposit secures the agreed design and production month or months in our diary, rather than a guaranteed completion date, unless a specific date has been confirmed in writing.

Wedding Artwork usually completes bespoke stationery orders at the end of the agreed production month, or at the beginning of the following month.

Delays in feedback, wording, guest information, payment, artwork approval or additional revision requests may delay the order.

If Wedding Artwork needs to adjust the agreed timeframe due to illness, supplier delays, client delays, additional revision rounds or circumstances outside our control, the Client will be notified as soon as possible. No discount will be offered for reasonable delays of this nature.

9. Client Responsibilities

The Client is responsible for providing all wording, names, addresses, guest information, venue details and any other required information clearly and on time.

The Client is responsible for ensuring all information supplied is accurate.

Wedding Artwork is not responsible for errors caused by incorrect, incomplete or late information supplied by the Client.

10. Design Proofs and Revisions

Two complimentary digital revision rounds are included for minor changes to wording, layout and calligraphy. Changes to existing or bespoke illustrations are not included within complimentary revisions. For bespoke illustration work, the Client is responsible for providing clear guidance, requirements and optional visual examples for any illustration work before the 1st day of the agreed production month. If this guidance or these requirements are not provided by this date, Wedding Artwork will use its own artistic judgement when creating illustration work.

Additional revisions will be charged at our Studio hourly rate of £80 per hour, with a minimum charge of 30 minutes.

Revisions do not include new design directions, major layout changes, new illustrations or changes to previously approved artwork unless agreed separately.

11. Proofreading and Approval

The Client is responsible for checking all proofs carefully before approval.

This includes all wording, spelling, any details and layout within the proof.

Once the Client approves the final digital proof, the design is considered approved for production.

After approval, further changes are not be possible. If changes or reprints are required after approval, the Client will be responsible for the additional costs.

12. Colours, Screens and Materials

Wedding Artwork makes every effort to display colours, materials and finishes as accurately as possible.

Colours may appear differently on screen compared with the final printed product. This can be affected by screen settings, paper type, printing method and lighting.

Small variations in colour, texture, size, weight, paper finish, foil placement, calligraphy and handmade details are natural in bespoke and hand-finished stationery. These variations are not considered faults.

13. Handmade Production

Wedding Artwork’s stationery is created and finished by hand.

Foiling, calligraphy, wax seals, handmade papers and other hand-finished details may have slight natural variations. These are part of the character of bespoke stationery and are not considered defects.

14. Calligraphy and Guest Addressing

Where calligraphy or guest addressing is included, the Client must provide names and addresses clearly and accurately, in the format requested by Wedding Artwork.

Hand-written envelope calligraphy is completed in Wedding Artwork’s in-house calligraphy style.

15. Delivery and Collection

Orders may be collected from our Studio or sent by tracked, signed-for and insured delivery.

Delivery charges will be added to the invoice or Formal Quote, or invoiced separately, and will depend on the size, weight, destination and value of the order.

Delivery timeframes are estimates only. Once a parcel has been handed to the courier or postal service, delivery times are outside Wedding Artwork’s control.

 

The Client is responsible for:

* providing the complete and correct delivery address;
* providing a name of the recipient;
* ensuring someone is available to receive and sign for the parcel;
* monitoring the tracking information; and
* checking that the parcel has arrived safely.

Wedding Artwork has not experienced delivery delays beyond a couple of days in over six years of sending wedding stationery orders worldwide, so significant delays are very unlikely. However, courier delays can occasionally happen and are outside our control.

If a parcel is delayed by more than 4 weeks from the shipping date, Wedding Artwork will provide a replacement order where reasonably possible.

The Client must inspect all delivered items within 24 hours of delivery. Any damage or issue must be reported to Wedding Artwork within this timeframe with clear photographs. If issues are not reported within this timeframe, replacements may not be possible.

Wedding Artwork is not responsible for delivery issues caused by incorrect addresses, missed deliveries, parcels left in safe places, parcels signed for by others, venue handling issues,  or circumstances outside our control.

All stationery deliveries are insured.

International orders may be subject to customs duties, taxes or import charges. These are the Client’s responsibility.

16. Delivery to Venues or Planners

Stationery and signage may be sent directly to a venue or planner where agreed.

The Client is responsible for:

* providing the complete and correct delivery address;
* providing a name of the recipient;
* informing the venue/planner that a delivery is expected;
* ensuring someone is available to receive and sign for the parcel;
* monitoring the tracking information; and
* checking that the parcel has arrived safely.

Any damage, delay or delivery issue must be reported to Wedding Artwork within 24 hours of delivery, with clear photographs where relevant.

Wedding Artwork cannot be responsible for parcels that are shown as delivered, but then misplaced, lost, or not checked (within 24 hours) once delivered to a venue/planner.

If the venue does not inspect the parcel on the day of delivery, Wedding Artwork will not be unable to provide replacements.

17. Publication and Credit

If the Client, venue, planner, photographer, supplier, magazine, blog or other third party publishes images of Wedding Artwork’s work, Wedding Artwork must be credited clearly, with the full name “Wedding Artwork”, link to the website “[www.wedding-artwork.com](http://www.wedding-artwork.com) and Instagram “@wedding.artwork”.

The Client agrees to notify Wedding Artwork of any planned publication on websites and blogs.

18. Cancellations, Reductions and Refunds

Due to the bespoke and handmade nature of our work, refunds, returns and cancellations are not available once a booking has been confirmed, except where stated below.

If the Client cancels any items or reduces quantities after the deposit has been paid, Wedding Artwork will retain 30% of the quoted price for those cancelled or reduced items.

Cancellations or reductions must be requested no later than 15 days before the 1st day of the agreed production month. For example, if a booking’s production month is July, cancellations or reductions must be requested by 15th June.

After this point, cancellations and reductions are not possible, and the full balance remains payable.

19. Errors and Reprints

If Wedding Artwork makes a production or printing error, we will reprint or correct the affected item.

If an error appears in a proof approved by the Client, the Client is responsible for the cost of any reprint or correction.

20. Limitation of Liability

Wedding Artwork’s liability is limited to the value of the items paid for by the Client.

Wedding Artwork is not responsible for indirect losses, courier delays, venue handling issues, missed deadlines caused by the Client, or issues outside our reasonable control. Clients are expected to respond to emails and requests relating to their order within 48 hours where reasonably possible. Delays in communication beyond this timeframe may result in delays to the agreed design or production schedule, for which Wedding Artwork cannot be held responsible.

21. Agreement

By confirming their booking with a deposit payment, or any other payment, the Client confirms that they have read, understood and agreed to these Terms and Conditions.
